Business Meeting Minutes – 18 October 2008

 

1.  Opening Remarks:

 

            a.  President Jerry Nelson opened the meeting at 12:40 p.m., welcoming all attendees. He introduced himself and Safeside Board Members in attendance. Acting Secretary, Gary Jones, volunteered to take the Minutes.

 

            b.  President Nelson called for a moment of silence for our fallen Safesiders.

 

2.  Old Business:

 

a.  The Minutes from the 2007 Business Meeting in Washington, DC, were read by Lowell Little. A motion to approve the Minutes was made by Wayne Shupe and seconded by Gary Jones. The motion carried without dissent.

 

b.  President Nelson briefed that the Commander, 820th Security Forces Group, had approved the Safeside Reunion at Moody AFB, GA Sep 17-20, 2009. We will contract with Reunion Brat to make all arrangements.

 

c.  President Nelson briefed that the 820th SFG would display items of significant Safeside interest in the Group’s Heritage Room. Anyone having items to loan or donate should contact President Nelson. Due to space limitations, items should be of interest to both past and present Safesiders.

 

d.  President Nelson reiterated the strong relationship between the Safeside Association and the Vietnam Security Police Association (VSPA). We do not expect this relationship to lessen under the newly elected VSPA Officers.

 

3.  New Business:

 

            a.  Dan Slater brought up the need to launch a more concerted effort to locate and contact former Safesiders. A lengthy discussion occurred, on possible ways to accomplish this task. It was acknowledged that some former Safesiders are not interested in our Association and do not want to be contacted. Gary Jones will coordinate with our Membership Chairman, Rick Adams, to publish announcements in Veteran’s publications, announcing our September Reunion. Additionally, Gary Jones will explore the cost of a subscription to a “People Finder” service to help us locate former Safesiders. Treasurer Roger Nelson commented that we had the money to pay for a subscription. President Nelson will submit a proposal to the Board of Directors, once a suitable locator service is found.

 

            b.  President Nelson brought up the possibility of incorporating the Safeside Association under IRS Rule 501(c). This action will allow people to make tax deductible donations and bequeaths to our Association. A motion to have President Nelson pursue this further was made by Lowell Little and seconded by Wayne Shupe. The Motion was approved.

 

            c.  President Jerry Nelson presented a plaque to Treasurer Roger Nelson for service “Above and Beyond” for his efforts to provide “Snacky Treats” to our deployed troops.

 

            d.  President Nelson discussed the Sgt Major Robert Frink Award. This is the top award given by our Association, for extraordinary service to the legacy and heritage of Safeside.  Sergeant Major Frink has approved the use of his name on this award.  The Board approved a motion to fund the logistics arrangements associated with the presentation of this award. More details on the award will follow by an “all hands” e-mail.

 

            e.  President Nelson briefed on the Combat Dining Out that many Members attended at Moody AFB in March. President Nelson acknowledged the extraordinary hospitality given to the original Safesiders and their wives by the new Safesiders and their spouses.

 

            f.  President Nelson indicated that two positions needed to be filled by election. One vacancy was for the vacant Board of Director position to represent the 823rd CSPS and one vacancy was for the Association Secretary.  There were no 823rd CSPS members present, so that position could not be filled. Gary Jones volunteered to accept the Secretary position, if there were no candidates. Wayne Shupe made a motion that Jones be appointed Secretary by acclamation. Lowell Little seconded the motion and it was approved by all present. President Nelson will contact 823rd CSPS Members to find someone to fill the vacant Board position.

 

            g.  Treasurer Roger Nelson read the Treasurer’s Report. The Association is in good financial position. Wayne Shupe made a motion to accept the Treasurer’s Report and the motion was seconded by Lowell Little. The motion was approved unanimously. A copy of the Treasurer’s Report is attached. 

 

            h.  President Nelson commented that the Association wants to make sure that items raffled off as fund raisers are quality items that will have significance for the winner.  

 

            i.  Dave Pierson commented that fund raisers and benevolent activities by volunteer groups might be taken over by cities and political organizations, if there appears to be some political good will to be had from the effort. In most cases, the efforts by cities and political organizations will produce far less results than those of volunteer groups. Dave’s group raised over $70,000 for families of Iraq-Afghanistan war veterans. When taken over by the city, the amount dropped to about $2000.

 

4.  Adjournment:  Larry Ernsting made a motion to adjourn. The motion was seconded by Rich Nucifora and approved unanimously.
