Safeside Association BUSINESS MEETING MINUTES 8 Oct 2010
OPENING REMARKS:
President Jerry Nelson opened the meeting at 12:20 in the Holiday Inn Riverwalk, San Antonio, TX. President Nelson introduced himself and the Board of Directors, who were in attendance. He also recognized member of the 1041st Security Police Squadron (T) and acknowledged their contributions to the Air Force and to the success of the Safeside program.
Vice President Pete Villarreal led the members in the Pledge of Allegiance and a moment of silence for our four Safesiders who attended their final Guardmount since the last Reunion in Valdosta.
Vice President Pete Villarreal introduced Steve Gattis, President Emeritus, Vietnam Security Police Association and Honorary Member of the Safeside Association.
OLD BUSINESS:
Gary Jones, Secretary, read the Minutes from the 2009 Business Meeting. A motion was made and seconded to approve the Minutes. The motion passed unanimously. The Treasurer, Roger Nelson, was unable to attend, so the Treasurer’s Report was not briefed.
President Jerry Nelson briefed attendees on the progress of our tax exemption application under IRS rule 501(c)(19). He indicated some progress was being made, Treasurer, Roger Nelson, has the Form 1024 and President Nelson has the Form 991. These are almost ready for submission.
NEW BUSINESS:
Rick Adams briefed the Membership status. Rick continued to emphasize the need for everyone to recruit a new member. As result of Rick’s motion at the 2009 Meeting, spouses are now automatically extended full membership, when their spouse becomes a member. We were proud to have several spouses in attendance.
Pete Villarreal led a discussion about the possibility of having the 2012 Safeside Reunion in San Antonio, with a date to coincide with a Security Force Academy graduation. The discussion will continue at the 2011 Reunion, since it is too early to determine the SF Academy graduation dates. (Open)
President Nelson encouraged members to look through their attics to see if they have any items suitable for donation to the 820th BDG Heritage Room or the Air Force Security Forces Museum Pete indicated he had donated his beret to the Air Force Security Forces Museum.
Larry Ernsting, Editor of the Safeside Newsletter, asked members to submit articles of interest for publication in the Newsletter. He urgently needs material for the upcoming issue.
President Nelson asked members to approve the Above and Beyond Award for Bud and Bettye Owens. They volunteer to greet military forces returning from the Middle East and Southwest Asia. They make sure the returning troops receive the “Welcome Home” that Vietnam Veterans never received. Bud and Bettye do this, regardless of time of day or day of the week the troops arrive. The motion was seconded and passed unanimously. NOTE: The Award was presented at the Banquet on 8 Oct, before an audience of about 300 VSPA and Safeside attendees. (CLOSED)
P{resident Nelson briefed attendees on the 2011 Reunion to be held in Valdosta o/a June 4-6. President Nelson indicated that he and VP Villarreal are doing the Reunion Planning and arrangements, without assistance from a contract planner. This will lower the costs significantly. Lower costs should translate into more attendance.
President Nelson acknowledged that 2011 will be the Association’s 25th Anniversary. There was a discussion about having a special patch or pin to recognize this important milestone. The decision will be made by the Board of Directors. (OPEN)
Mrs. Sherri Nelson stressed the importance of everyone informing their spouses about the existence of the Sisterhood and the important role they play. Spouses are a key player in the healing of PTSD, Agent Orange illnesses and other afflictions associated with combat service. Everyone agreed unanimously to Mrs. Nelson’s plea.
Gary Jones, Secretary, suggested the need to have backups in all the key positions. Ideally, the backup will be embedded in the 820th BDG, to ensure continuity in the event a person in a key position becomes disabled or otherwise unable to perform their duties. This item is tabled until the 2011 Reunion, where we will be in direct contact with the 820th BDG members. (OPEN)
President Nelson briefed on the status of 300 coins, ordered but not delivered, by a San Antonio vendor. The previous business owner apparently sold the business and failed to include the list of debits against the company. The new owner has indicated he will make good on the Association’s $1500 order. President Nelson indicated that he is prepared to file suit, if coins are not delivered or our funds returned.
Mr. Jesus “Jesse” Longoria asked about the archive for the old bulletin board system and whether it could be recovered. The Webmaster and Bulletin Board Administrator (Gary Jones) reported the problem occurred when our web host upgraded the BBS software and it was not backwards compatible with our data base. The host had been sending out e-mails to notify us of the coming change, but they were being sent to our previous Webmaster’s e-mailbox. When the new software was activated, it corrupted our message data base beyond recovery.(CLOSED)
VP Villarreal indicated the need for a Veteran’s Service Officer within our Association. The VSO’s duties would be to guide and assist members with their VA claims. He nominated Bill McGraw for this important position. Mr McGraw agreed to accept. This will be an appointed position, because of the special skills and knowledge required. Mr. McGraw is imminently qualified for the position and was confirmed by the Board of Directors.

There being no further business, a motion to adjourn was made by John Zolondz and seconded by Larry Ernsting. The motion carried unanimously.
